What Event Orchard is

Event Orchard is operated by Radford Development Services, trading as Event Orchard, from Somerset, United Kingdom. It helps people describe an event once, compare suitable venues, and choose which verified venues receive their Event Brief. This policy covers the marketing website at eventorchard.co.uk and the application at app.eventorchard.co.uk.

Information you give us

When you create an account, we store your name and email address. Your password is stored as a secure hash, not as readable text.

  • Event Briefs can include dates, location, guest count, budget, style, supplier needs and notes.
  • Venue claims and listing requests include the details needed to check your connection to a venue and understand the requested change.
  • Enquiries and optional messages contain whatever you choose to write.
  • Emails to us contain your address and the information you include.

Event Briefs and shortlists

Your Event Brief and shortlist are private to your account. Shortlisting a venue does not tell the venue anything about you. A verified venue receives your Brief and account contact details only when you explicitly choose to send it.

If you ask Event Orchard to approach an unclaimed venue, we do not share your identity, contact details, notes or Brief with that venue.

Venue listings and claims

Unclaimed listings use factual business information published on venue websites and other public sources. We record the source and clearly mark these listings as unclaimed. This does not mean the venue has joined or endorsed Event Orchard.

Venue representatives can claim a listing, suggest a correction or ask for removal using the controls on the listing or our contact page.

Reviews

Reviews are available only after a verified venue marks an event as completed. The reviewer’s account name, one-to-five apple rating, comment and review date are shown publicly on the venue listing.

Analytics

Cloudflare Web Analytics measures aggregate visits and page performance without using cookies, local storage or fingerprinting. It helps us understand page views, referrers, approximate location, browser and device type. We use this only to understand and improve Event Orchard, not for advertising.

You can object at any time using “Disable anonymous analytics” in the footer. If you do, we set a first-party preference cookie namedeo_analytics for up to one year so both the website and app remember not to load analytics.

Cookies

The application uses an essential event_orchard_sessioncookie to keep you signed in securely. It expires after 30 days and is not used for advertising. The optional eo_analytics cookie described above records only an analytics opt-out.

Emails and service providers

We use Postmark to deliver verification, password-reset and workflow emails. We record delivery, bounce and spam-complaint status so we can operate email safely. Open and link-click tracking are disabled.

We use specialist providers to host and protect the service, deliver email and measure aggregate site performance. These currently include Fly.io, Netlify, Cloudflare and Postmark. We do not sell personal information or use it for third-party advertising.

How we use and keep information

We use information to provide accounts, match Event Briefs, deliver the actions you request, verify venue claims, keep listings accurate, send service messages, prevent misuse and improve Event Orchard. Depending on the activity, we rely on providing the service you asked for, our legitimate interests in operating it safely and accurately, and our legal obligations.

We keep information only while it is reasonably needed for those purposes, to resolve disputes or to meet legal obligations. Account and Event Brief information is not made public. You may ask us to correct or delete information we no longer need.

Your choices and rights

You can ask for a copy of your personal information, request a correction or deletion, restrict or object to its use, or ask for information you supplied in a portable form where applicable. Email hello@eventorchard.co.uk and give us enough information to identify your account or request.

You can also complain to the UK Information Commissioner’s Office at ico.org.uk.

We will post any changes on this page and update the date at the top.
